This website, freshcoolrepair.com, is operated by Fresh Cool Repair, an air conditioner servicing, repair and installation business based at House 8, Road 2, Mohammadpur, Dhaka 1207, Bangladesh. In this policy, “we”, “us” and “our” mean Fresh Cool Repair, and “you” means any visitor to the website or any customer who contacts us by phone, email, messaging app or the booking form.

We are responsible for the personal information described in this policy. We handle it in line with the laws of the People’s Republic of Bangladesh that apply to our business, and we try to go further than the minimum by collecting only what we need to do the job.

2. Information we collect

Information you give us

When you book a visit, ask for a quote or contact us, we may collect:

• Contact details — your name, mobile number, email address and, where you choose to use it, your WhatsApp or other messaging account.
• Service address — house, road, area and any directions or landmark our technician needs to find you, including floor number and building access notes.
• Appliance details — AC brand, model, tonnage, age, location in the property and a description of the problem. You may also send photos or videos of the unit or its rating sticker.
• Booking and job records — the date and time of the visit, the technician assigned, the work carried out, parts fitted, prices quoted and paid, and warranty dates.
• Payment references — for bKash, Nagad or bank transfers we keep the transaction ID and the last digits of the sending account so we can match your payment. We never ask for or store your PIN, password or full card number.
• Business details — for commercial and annual maintenance (AMC) customers, the company name, trade licence or BIN where needed for invoicing, and the name of the contact person.

Information collected automatically

When you visit this website, our hosting server and the plugins we use may record technical data such as your IP address, browser type, device type, pages visited, the page that referred you and the date and time of your visit. This helps us keep the site secure, prevent spam on our forms and understand which pages are useful. Some of this is collected through cookies, described in our Cookie Policy.

3. How we use your information

We use personal information only for purposes connected with our service:

• To confirm and schedule bookings, send arrival windows and let you know if a technician is running late.
• To prepare quotes, carry out servicing, repair or installation work, and bring the right tools and parts.
• To issue job cards, receipts, invoices and warranty records, and to handle warranty claims or re-check visits.
• To remind AMC customers of scheduled maintenance visits, and — only if you agree — to send seasonal service reminders to household customers.
• To answer questions, complaints and feedback, and to improve how we work.
• To keep our website and systems secure, detect fraudulent bookings and block spam.
• To meet legal, tax and accounting obligations under Bangladeshi law.

We do not sell your personal information, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

4. Who we share it with

Your information is seen by our office staff and by the technician assigned to your job. Outside our team, we share it only when necessary:

• Parts suppliers and brand service centres — when a part must be ordered under a manufacturer warranty, we may share the unit’s model, serial number and your name as the owner.
• Payment providers — bKash, Nagad and banks process payments under their own terms and privacy policies.
• Service providers — our website host, email provider, SMS gateway and backup storage, who process data on our behalf and only for our purposes.
• Authorities — where required by law, court order or a lawful request from a government body in Bangladesh.

5. How long we keep it

We keep booking and job records for as long as they are useful for warranty and service history — normally three years after your last visit. Invoices and payment records are kept for the period required by tax and accounting rules. Messages sent through the website form are deleted after twelve months unless they became a booking. Photos you send of your unit are deleted once the related job and its warranty period have ended.

6. How we protect it

The website uses an encrypted HTTPS connection. Access to our booking records is limited to staff who need it, protected by passwords and, where available, two-step verification. Technicians receive only the details needed for the day’s jobs. We keep regular backups and apply security updates to the website. No method of transmission or storage is completely secure, but we take reasonable care and will inform affected customers if a breach is likely to put them at risk.

7. Your choices and rights

You may ask us at any time to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or out of date;
• delete your information, where we are not required to keep it for warranty, legal or accounting reasons;
• stop sending you service reminders or promotional messages.

8. Children

Our services are booked by adults. We do not knowingly collect personal information from children under 18. If you believe a child has sent us personal information through this website, please contact us and we will delete it.
